To support our growth, we are seeking an experienced Accounts Assistant to join our team in Aberdeen on a 12-month contract basis.  The successful candidate will be responsible for maintaining an efficient and accurate accounts function, working closely with the Head Accountant and other Accounts Assistants. The role will be busy, varied and requires the successful person to have excellent communication skills to build good relationships with co-workers, clients and suppliers to guarantee work is completed accurately.


This is a split role covering three areas of finance – accounts payable, credit control and sales invoicing.

Sales Invoicing:

  • Prepare and process customer invoices
  • Review of customer PO’s to ensure invoicing in line with instructions
  • Send invoices to customer or upload on their portals as required
  • Liaise with internal staff and customers on invoicing queries (e.g. VAT etc.)
  • Prepare monthly sales summaries and deferred income summaries

Credit Control:

  • Managing a portfolio of accounts/ledgers:
  • Chasing outstanding debts
  • Processing and generating monthly statements
  • Maintaining ledgers including investigation and allocation of receipts
  • Weekly / month end reporting
  • Building and maintaining client and internal relationships
  • Reconciliation of Invoice Discounting Bank Account

Accounts Payable:

  • Full accounts payable cycle
  • Review of monthly timesheets to approve/reject supplier invoices
  • Review of expenses to ensure in line with Group Expenses Policy, correct VAT claimed and receipts are received.
  • Preparation and review of payment runs
  • Review of cash balances to ensure sufficient funds for payments
  • Supplier and invoice analysis as required
  • Management of central mailbox(s)
  • Deal with email and telephone queries from employees, suppliers and contractors
  • Liaising with internal stakeholders (operations, sales and accounts receivable team) to resolve outstanding queries

Skills required;

  • Previous experience working in a similar role
  • Ability to work on your own initiative
  • Strong attention to detail
  • Excellent IT, verbal and written communication skills.  Sage 200 experience preferred but not essential.
  • Proficient in Excel and use of pivot tables and other functions.
  • Excellent organisation skills
  • Adapt quickly to change and deliver under pressure
  • Team Player
  • Professional manner
